Refund & Cancellation Policy

We understand that plans change. This policy is designed to be as fair as possible while reflecting the real costs we incur when an event is cancelled or postponed.
1. Non-Refundable Deposit
A deposit of 30% of the total package price is required at the time of booking. This deposit is non-refundable under all circumstances, as it compensates us for time invested in initial planning, vendor outreach, and securing your event date.
2. Cancellation by Client
If you need to cancel your event, please notify us in writing as soon as possible at tetiana@belroseevents.com. Refunds on amounts paid beyond the deposit are determined by the notice period:
- 90 or more days before the event: 50% of amounts paid beyond the deposit will be refunded;
- 60–89 days before the event: 25% of amounts paid beyond the deposit will be refunded;
- 31–59 days before the event: No refund on amounts paid beyond the deposit, but we will credit the full amount toward a rescheduled event within 12 months;
- 30 days or fewer before the event: No refund and no credit will be issued. All amounts paid are forfeited.
All refunds will be issued to the original payment method within 10 business days of the cancellation being confirmed in writing.
3. Postponement by Client
We understand circumstances change. If you wish to postpone your event rather than cancel:
- 90 or more days notice: We will transfer all payments to your new date at no additional fee (subject to availability);
- 60–89 days notice: A postponement fee of $250 applies to cover re-coordination costs;
- Fewer than 60 days notice: A postponement fee of $500 applies, and vendor re-booking costs (if any) will be passed through at cost.
Postponements must be rescheduled within 18 months of the original event date. After 18 months, the booking will be treated as a cancellation.
4. Cancellation by Belrose Events
In the unlikely event that we must cancel your booking due to circumstances within our control, you will receive a full refund of all amounts paid, including the deposit. We will also make every reasonable effort to assist you in finding an alternative planner.
5. Force Majeure
If an event must be cancelled or postponed due to circumstances beyond either party's reasonable control — including government-mandated restrictions, declared states of emergency, natural disasters, or venue closures — the following applies:
- All amounts paid (except third-party vendor costs already incurred and non-recoverable) will be held as credit toward a rescheduled event;
- If rescheduling is not possible within 18 months, we will refund all recoverable amounts, less the deposit and any non-recoverable third-party costs;
- We will provide a full written breakdown of any non-recoverable costs within 14 days of the cancellation.
6. Add-On Services
Add-on services cancelled separately from the main package follow the same timeline-based refund schedule above. Add-ons cancelled at the time of a full event cancellation are governed by the main event cancellation terms.
7. Third-Party Vendor Costs
Please note that third-party vendors (e.g. photographers, caterers, florists) may have their own cancellation policies and non-refundable deposits. We will always communicate vendor cancellation terms to you at the time of booking. Any non-recoverable vendor costs are the client's responsibility and will be deducted from any refund owing.
8. How to Cancel
All cancellation and postponement requests must be submitted in writing via email to tetiana@belroseevents.com. The cancellation date is the date we receive your written notice. Verbal or phone cancellations will not be accepted without written confirmation.
